Many schools in Pakistan still run on fee registers, Excel sheets and WhatsApp groups. A school management system can save the office hours every week — but only if it fits how Pakistani schools actually work. Here is what to check before you choose one.
1. Fee vouchers the way your bank wants them
Can it print a 3-copy challan (bank, school and parent) with your bank details? Can it make the whole school’s vouchers in one click, with concessions, sibling discounts and late fines?
2. Easypaisa and JazzCash
Most parents now pay from their phone. The software should let parents report the transaction ID so the accountant can confirm it — and send a receipt automatically.
3. Urdu as well as English
Teachers, clerks and parents should be able to switch to Urdu with one tap.
4. Works on a phone
Teachers mark attendance on their phones. If the software only works well on a computer, it will not be used.
5. Parent alerts
Absence alerts, fee reminders and results by email or WhatsApp are what parents notice — and what reduces calls to the office.
6. Your own data and backups
Ask: is my school’s data kept separately? Can I download a full backup any time? What happens if I stop using the service?
7. Your school’s name and logo
The portal, vouchers and report cards should carry your school’s brand, not the software company’s.
8. Support you can reach
A help chat inside the software and a WhatsApp number matter more than a long feature list.
